Donor Relations Specialist
BASIC FUNCTION: The Donor Relations Specialist oversees the internal activities associated with building strong donor relationships. These include managing the development donor database, managing all cash and in-kind contributions, providing general office assistance, and coordinating volunteers for Development and Public Relations.
ESSENTIAL FUNCTIONS:
Oversees the input of all information into Raiser’s Edge donor database to insure current and accurate information is available for donor, volunteer, adoptive parent and employee communication and recognition. Tracks results of development efforts by generating routine and special reports for analysis. Provides analysis of reports for trends, quality improvement efforts, cost efficiencies, and new opportunities.
Balances fund totals with finance department to produce a monthly total of donations.
Conducts queries as needed for mailing lists, donor and volunteer communication and recognition, and fundraising efforts. Coordinates and enters information for social accountability activities.
Receives and records cash and memorial/honor donations from individuals, churches and other constituents.
Coordinates direct mail appeals. Generates pledge reminders.
Assists with in-kind donations as needed. Generates personal thank you letters for all donations.
Coordinates Christmas Wish List program. Coordinates volunteers for Festival of Trees and other development events which includes volunteer recruitment, communication, and recognition activities. Provides assistance to Special Events Coordinator as needed, including ordering recognition items or giveaways for tours, events, etc.
Greets and assists visitors to Asher Hall; provides information as requested.
Maintains confidentiality of all donors, employee and volunteer information.
Maintains office supplies. Provides oversight to office volunteers as appropriate.
Provides assistance with coordination of meeting dates, locations, and refreshments, as assigned.
Attends departmental, Festival of Trees steering committee and other meetings as assigned. Prepares and disseminates meeting notices, minutes and information to attendees.
Serves as a TBF ambassador by presenting a positive, professional, knowledgeable and caring image to our donors, Board and the public. Cultivates strong relationships with staff by serving as a liaison between DPR and assigned programs of the agency. Develops and maintains strong collegial relationships with team members to fully integrate donor relations activities with special events, public relations, marketing, communications, and donor development.
Ensures that all donor relations activities support the mission, vision and brand of The Baby Fold.
Anticipates potential problems regarding DPR issues and utilizes constructive problem-solving methods.
Contributes to quality improvement through active participation in Quality Improvement activities.
MINIMUM QUALIFICATIONS:
Bachelor’s degree in a relevant discipline or equivalent experience required.
Minimum of three years of prior office management and/or development experience.
Demonstrated skills in the use of Microsoft Office software programs and maintenance of records, statistics, and databases. Experienced with Raiser’s Edge fundraising software preferred.
Excellent written, verbal, and interpersonal communication skills. Ability to organize efficiently, establish priorities and attend to details. Willing and able to maintain high standards of confidentiality.
Must pass DCFS background checks. Valid driver’s license and use of a personal vehicle with adequate insurance to perform business errands for The Baby Fold.
Ability to work cooperatively as a team member with other agency staff. Demonstrated competence in serving a culturally diverse population. Demonstrated ability to work collaboratively with a diverse workforce.

WORK HOURS: Full-time exempt position; Hours to be scheduled by supervisor.
